Mascot Appearance Request Policy for Public School, Non-Profit/501C3, Private and Corporate Events
Appearance Policy:
ROC may be available to appear at your next event. Please submit requests via the Mascot Appearance Request Form 2 weeks but no more than 3 months in advance. We tend to be extremely busy at the beginning of each semester. University and Athletics Requests receive priority during these times. We may not be available during scheduled academic breaks, exam weeks or home football game days. If mascot(s) are available they will need an adult, full-time escort who can ensure that they have:
- A parking place close to the event
- A private place (not a public restroom) to dress
- A secure location for their clothes and personal items
- Drinking water must available at all times
- A reminder when their appearance time is over (ROC doesn’t wear a watch and clients will be responsible to pay for any extra time)
- A 15 minute break halfway through their appearance with plenty of water available. 15 minutes will be extended at the ending time to account for the break.
Rates and Fees:
All requests include a nonrefundable $3.00 processing fee. This fee is in addition to the hourly rates and mileage rates described below.

Appearance Types
- Non-Profit Organization Appearance for a Non Game Day: $125.00 (60 minute max) *Off Campus, Outside of the City Limits
- The appearance will include a visit by our Cheer Team, Dance Team and/or ROC
- Onsite Game Day Appearance: $200.00 (30 minute max)
- The appearance will include a visit by our Cheer Team, Dance Team and/or ROC
- Included in this fee a handler(s) will be assigned to help Roc navigate the area
- For Football games, appearances are permitted around Acrisure Stadium only
- For Basketball games, appearances are permitted around the Petersen Events Center only
- The same appearance permissions are applied to all of our 19 sports
- Corporate Non Game Day Appearance: $400.00 (60 minute max)
- The appearance will include a visit by our Cheer Team, Dance Team and/or ROC
- Included in this fee a handler(s) will be assigned to help Roc navigate the area
- Mileage is included in the appearance fee
- Special Events and Weddings: $350.00 ($150.00 for each additional hour)

By default appearances durations will be one hour. Exceptions must be approved by the Appearance Coordinator in advance.
You will be charged for the hour at the applicable rate. You will be charged an additional hour for any portion of an hour over 15 minutes. We use the current university rate of $0.17 per mile for mileage reimbursement (as of 2 July 2018) based on the round-trip mileage from 3719 Terrace St. Pittsburgh, PA) to the event. During a university break or holiday, if their travel originates from different places, you may be charged for each mascot's mileage. For the safety of our mascot, we are only able to accept request that are less than 1 hour driving time from campus.
Event Confirmation Process:
After you complete the Mascot Appearance Request Form you will receive an automatic confirmation message that your request has been received. We will review your request at our weekly scheduling meeting and will let you know as soon as possible whether or not we can fulfill your request. During the academic year we will respond within 2 weeks for requests that are 3 months or fewer in advance. During the summer break, the response time may be longer due to the fact that our mascot is on summer break and may not have access to review requests.
If ROC is available, you will receive a confirmation email which will include the mascot’s name and cell number, the name and phone number of the mascot coordinator, and the name and phone number of the mascot's emergency contact. We will also attach your invoice. If mascot(s) are not available, we will let you know via email.
Payments:
All payments must be made via credit card by establishing an account with Paciolan. If your request is confirmed, a confirmation email will be issued along with an invoice.
Event Cancellation:
- We reserve the right to refuse a request if it is determined that the event or location is not suitable for our mascot(s) or if the client has unpaid invoices.
- Mascot’s may cancel an event if they feel uncomfortable with the venue, the behavior of the guests, and/or if there is not a suitable place to change clothes and safely store their personal items, or any other situation that makes them feel unsafe or uneasy.
- There is an appearance cancellation fee of $50 for any event canceled seven or fewer days before an event.
- If we must cancel an event due to illness, personal emergency, class issues, etc. of the assigned mascot(s) and a replacement cannot be found or if we must cancel due to adverse weather, you will be contacted as soon as possible, and you will receive a total refund.
